Sharpen Your Writing With Structure December 31, 2008

At some point, every serious writer is forced to sit down and conclude that there is something seriously wrong with their work. It wanders; it is pretty in some spots and horribly ugly in others. It doesn’t always make sense, and is uneven in places. Even though every sentence is grammatically correct, there is something fundamentally broken about the piece.

It lacks structure.

Structure is what holds a good piece of writing together, the material reflection of the reader’s psychological need for order. It is the quality that makes the best writing appear seamless, conjured whole from heaven itself. Structure is the logical mind’s contribution to a creative process, and a primary difference between professional writing and amateur scribbling: a conscious decision and a learned skill.

Being in many ways the very essence of writing, structure isn’t mastered overnight. But here are a few rules of thumb that can help you improve the organizational readability of your work:

Establish a logical order to your presentation.

Ignore all the popular advice to “write like you talk”; that’s a misguided appeal to conversational tone usage and a shortsighted encouragement for people who are terrified to put pen to page. In order to master structure, you must learn to write deliberately and with forethought. Plan what you’re going to write and how you’re going to write it: don’t make it up as you go along, particularly when you are writing nonfiction of any kind.

In nonfiction writing (which means anything that isn’t fiction), the room for art is small. Don’t set out to create art – build a sturdy framework, as a skilled attorney would build a legal argument. Make your supporting points early and establish the logical flow to consequences and conclusions. Don’t loop back and make points at word 800 that you should have made at word five.

Make your points quickly – write in 300-word chunks.

That’s the magic number: 300. Books are typically printed with about 300 words to a page; magazine articles will usually be structured into roughly 300-word segments. An effective press release, page of website copy or newsletter article won’t run much above 300 words. Any longer and your reader will notice that something is off about your piece. Too much longer and your reader will get bored. For some reason, the human mind seems to be most comfortable reading at the 300-word length.

That does not mean that everything you write must be short, only that long pieces should be built out of short pieces put in order. If you can’t make your point in 300 words or less, then you are trying to make more than one point. Simplify the whole piece: break the manuscript down into single-point segments no longer than 300 words in length, and then put your points into a logical order that builds towards your final conclusions. The final product will seem to flow with a gentle rhythm that your readers might notice, probably won’t be able to identify, and so will most likely attribute it to your talents.

Try it: you’ll be amazed.

Take the entire piece down to a single thought, expressed in a single sentence, and then rebuild it from the ground up.

When in doubt, strip the piece down and rebuild it from its primary components. The greatest threat to structure is diffusion; rather than trying to communicate one thing well, you end up saying lots of things badly. Good structure requires that you have a very clear idea of what you are writing, how you are doing it and why. Do one thing, and do it very well.

Set the piece aside and attempt to make your final point in a single sentence, losing as little important detail as possible. Do not use compound sentences; keep it simple and limit it to a single direct thought. If you can’t do it, then you do not have a clear enough idea of what it is that you’re trying to accomplish – reorganize the piece or split it into several separate ones.

An English sentence has a natural internal structure all its own. Look at your one-sentence summary and use its structure to inform yourself on how the overall piece should be structured. Once you’ve reduced your writing to its bare essence, you can reconstruct it on a much more solid foundation.

In the end, professional writing is all about understanding the psychological needs of the reader. If you are writing purely for your own pleasure, with no intention of ever letting anyone else read it (and what a boring life that would be), then it doesn’t matter because you’re not really writing: you’re keeping a diary.

But if instead you want your writing to be appreciated by readers, structure is one concept that you can’t live without.

A Small, Simple, Adjustment for your Thinking, would be to understand that you control your thinking, or be aware that someone else does that has influenced you. You need simply to make a small adjustment in your perception of your thinking.

Imagine that your mind contains a DVD player, and you can put on your DVD any movie that you want. Instead of viewing on your DVD a weak, failure prone life and mediocre day, you need to put on your DVD a powerful, Successful day and life, and failure is not a possibility.

DVD stands either for “Doubling Victory Daily!”

Or DVD stands for “Discouraged Victim Daily.”

It all depends on what you want to put on your mental DVD, and want to watch during the course of the day. A Small, Simple, Adjustment of watching a movie of Success could mean the difference of $100,000 a year in income.

A Small, Simple, Adjustment for your words would be to get rid of the negative words, and any foul language. Easy to do, if you set your minds to it. Start speaking with a positive focus and get rid of any language that does not serve your Success.

Start speaking possibilities, not problems. Start speaking what you are going to do, not what you don’t know what to do. Start making a small adjustment in the action of your words, and make sure they are forward focused, not challenge focused. Start speaking Success into your future, not mediocrity as most people do.

Use words like “will,” and “must”, instead of might and may. These are the types of small, simple, adjustments that can create a powerful communication style in everything you do.

A Small, Simple, Adjustment for your actions, would be to engage what you are struggling to start, but baby step it. Simply break down even the simplest task into baby steps, and engage them one at a time with ease. We have a tendency to try and take massive actions that many times can be overwhelming, intimidating, and discouraging.

We believe that the Success Strategy of “Baby Stepping Success’ makes it easier to create Success in your life, and are small, simple, and effective. It is NOT what you think of doing, or say you are doing, but WHAT you are doing that matters, and many times it is the small, simple adjustments in your actions that can make a HUGE difference in your Success.

Is your small business web site ineffective as it is? Or, are you taking the leap onto the world wide web for the first time? Either way, you’re searching for the answer to the question, “what does an effective website contain?” Well, there is no simple answer to this question, as I’m sure you already know. However, I can provide some steps to help you evaluate your site’s purpose–knowing a website’s purpose is essential for developing effective content.

What is your site’s purpose?

If you don’t know what you want your website’s visitors to do once they’re there, your site, more than likely, does not have a clear purpose. By answering the following questions, you should be able to narrow down your reasons for having a site:

Does or do you want your site to encourage potential customers to contact you (via e-mail, phone or contact us form)?

Does or do you want your site to offer tools or resources for visitors (calculators, forums, downloadable information, etc…)? And if so, why?

Does or do you want your site to provide information about your company? About your industry?

Does or do you want your site to sell products?

Does or do you want your site to collect information from visitors (e-mail addresses, mailing addresses)?

Once you answered each question, you can evaluate content needs.

Encouraging Contact

If you want potential customers to contact you, you must encourage them to do so. How, you ask?

-Tell them to and have your phone number on every page.

-Ask them to send you their address and phone number for more information via a sign up form. Have a link to this form on every page.

-List an e-mail address that they can send questions to. Have this information on every page.

You’ll notice the “on every page” aspect of each of these options. If you want visitors to contact you, the way to do so needs to be easy to find. Your text on each page should also refer visitors to the contact option as well so they know exactly what you want them to do.

Tools and Resources

If you have information or a forum or some other tools or resources you want your visitors to use, make sure they are aware of their existence and that people know how to use them. Different tools require different kind of promotion (for example, a forum needs to be monitored and questions and comments need to be responded to; where a tool for calculating the cost of building a deck just needs instructions and a “what to do with this information” description).

Make sure visitors know not only where these tools are, but also why they are there and how their use will benefit them. Don’t just add functionality for functionality’s sake…if it doesn’t support your site’s purpose, it shouldn’t be there.

Providing Information

If you will be providing information to your visitors, make sure you have it indexed and easy to find. Adding a search form to your site is useful as well. It is also essential to not only keep adding articles to your “library” but to make sure visitors and customers are aware of the added content (perhaps via an RSS feed or an e-mail newsletter).

Selling Products

If you sell products on your site, obviously your purpose is to get people to buy the products. If a visitor goes to your site and doesn’t see any products, well, obviously they won’t know to buy them. Once someone arrives at your site, they should be presented with your products and be provided ample reason to buy (for example, a testimonial about the product on it’s page, a quality guarantee, etc…). Your home page should also showcase different products on a regular basis and include the same incentives to buy.

Collecting Information

If the main goal of your site is to grow your mailing list (regular mail and/or e-mail) you have to provide visitors a very good reason to give you their information. Collecting information can be combined with other things, for instance, getting customers to contact you can require getting their information. Also, when you provide information, something like a special report, you may require they provide their e-mail address or other contact information. You can be a bit creative here, but remember, if what your giving isn’t worth it, they won’t give you their contact information.

Other Items to Include

There are a few items that I believe every small business web site should have no matter what its purpose. These are an “about us” area, a “contact us” page or information, a sitemap, a privacy policy and disclaimer page.

The “about us” page can share your small businesses story with visitors and provide a history. People generally feel more comfortable doing business with people they know, sharing your story is a way to let your visitors get to know you and your small business.

The “contact us” page should contain your company name, physical and mailing address, phone and fax numbers and at least a general e-mail address. Why, because people may want to contact you and it is frustrating if there is no way to do so. You can limit what items you provide, but I encourage you to share as much as possible.

A sitemap allows visitors an overall look at your site and its content. It is also helpful to search engines when they index your site. If your site is small, you may not need one, but they are useful.

Privacy policies and disclaimers are important for sites that collect personal information and provide informational resources. You want your visitors to know how their information is used once in your possession and you also want to make sure you are not legally liable for how people use the information you provide.

Go Forth and Fill Your Website

After all this, you may still feel like you’re not sure what should be on your site–As I said, this is not a simple process. However, if you answer the questions provided and plan your site from there, you will be led to your desired outcome, an effective site for your small business. Take your time, evaluate your purpose and format your website accordingly, your small business is worth it.

According to recruiting specialists, most job seekers are so dedicated to the hunt that they don’t really stop to consider whether they will be happy doing the work, if they capture the position.

So, imagine this scenario.

Rosie has just been informed that she has earned a spot at Happy Time Telemarketing, and she is to report to work, first thing in the morning.

She’s excited, and can’t wait to start.

She has never sold anything by phone, but she liked the interviewer, and if she succeeds, she’ll earn more than her job as a server at a restaurant. And, she’ll be off her feet!

So, the time arrives and she reports to work, but she meets with several surprises:

(1) There are no private cubicles, which she expected. So there aren’t any fabric walls where she can place pictures of her family. Boo, hoo!

(2) Everybody on the telemarketing team is seated in rows, one desk behind the next. This looks like a big, grade school classroom. Yuck!

(3) Supervisors are marching up and down the rows, feeding words and phrases to the telemarketers. How distracting! How rude!

(4) Every time a sale is made, someone rings a bell. She thought they only used those silly things at hotels to summon luggage carriers and front desk people. Eek!

(5) It seems people are having conversation after conversation, without any break time. How regimented!

“I don’t like it here,” she thinks. “I’m only going to do this until I find something else.”

This very quick disillusionment happens all the time, and some of it is preventable, if you let people test-drive the job before officially hiring them.

This doesn’t include actual calling, but it does encompass the following:

(1) They get a tour of the facilities and they’re shown where they’ll be working.

(2) They are allowed to sit next to a successful rep, to listen to at least one side of conversations, and to ask that rep any questions they wish.

(3) They are debriefed about what they saw and heard, and how they feel about everything. At this point, they’re encouraged to surface any doubts or misgivings they have about the work, the environment, or their future cohorts.

(4) They’re sent home, and asked to call back the following day to discuss the opportunity further.

One of the reasons there is such rampant turnover in telemarketing is people are never fully enfranchised into the role that they’re being asked to perform. So, emotionally, they never connected with the job, the place, or the people.

Before investing in all of the paperwork, expense, and training associated with bringing a new person aboard, it’s important to know whether they’re ready, willing, and able to join the crew.

accessories, photo albums etc. etc. These terms can then be used
as building blocks for writing paragraphs.

Does the website have a sitemap? Look in the sitemap for things
like a feedback area which will have customer comments, or a
press release section – again, a rich source of writing ideas.

Remember when you were young – and I mean really young – back to those days you can’t even remember well. You were sitting on the floor. You are building that special tower. Concentrating on that final piece. At that moment you hear the scratching steps of the dog approaching.

Sometimes it is difficult to let go of what you have constructed in the past. You’re the father of a new idea and this idea has been accepted. The idea has been sculptured in the organization, people are using it and after years you nearly forgot it was yours. It was rather good. Yet, that was the past.
Today you are joining the team again and it is someone else who gets the credits for a new concept. Everybody agreed and people are leaving the room, “it time to build something new.” Unfortunately it’s your toy that bears the consequences. It is of no longer use. They call it the legacy issue. It has been working fine for years but now it is over.

In order to construct something new you might need to destruct something old. Although not always. But if it is the case, let go of that previous idea. Cut the emotional strings and let it free. That’s when the baby is born: no more strings attached.
If you are digging for gold and that single hole doesn’t seem to bring you any; jump out and start digging at some other place. Do it when others can still see you. They can put out their hand to you.

The dog is entering the room, glad to see you. Wagging with his tail. It is time to play.

Weapon #2 Invest time in designing your passion points “top marketing spots” beforehand!

Spend time on developing the passion points designed to sell
more before your book is even completed The passion points are
the title, cover, thesis, audience, benefits & features, mini sales
letter written as introduction and back cover copy of each book.
For example, at least half of the book’s success will be on the
title you choose.

Weapon #3 Know you don’t have to be a degreed expert, great
writer or do loads of research.

Write books you are interested in and want to learn more about.
As you look for information, talk to experts and write, you become
the expert. Find out what questions your readers will want
answered. Organize them into categories which become your table of
contents and eventually your chapters. Remember there are
interested readers who are waiting for your helpful information.

Weapon #4 Realize your message is significant and deserves your
attention, love and time.

Consider what your readers need and want. If your book shares
something unique, encouraging, useful, entertaining, it is
important enough to be written. Think about your gift? God gave you
your gift to share with others. Our gift back to God is what we do
with it. The loving care you put into your gift (book) the more
rewards await you.

Weapon #5 Recognize your book will sell with your marketing efforts

It’s true not everyone will want to buy your book. Yet there are
plenty of your targeted audiences that will want your entertaining
or helpful information. The world awaits your self-help, how-tos,
business, or poetry book. When you take the time to touch their
emotions with something that benefits them, they will pull out their credit card or cash and pay the price. Top selling non-fiction topics are self- help, mysteries, parent/children, sex and romance. Remember women buy 78% of all trade books.

Weapon #6 Realize the journey doesn’t have to be long or
difficult.

Invite your friends and family to brainstorm with you as peer
editors. Ask for their feedback on the thesis, title and chapters -
one at a time. Don’t become isolated in your thinking. Opening your
writing process up to others will give you a better feel for what
your readers may want. Enroll in a writing and/or publishing class
to elevate your thinking. Join a critique group to get feedback.

tips that will help you on your journey to a successful book.

Weapon #7 Acknowledge publishing has changed and doesn’t have to be too expensive, too long and too difficult anymore.

Technology has advanced the publishing process into new realms.
Traditional publishing has normally taken one to two years. With e-
Book and Print on Demand (POD) printing technologies, an author can see their quality looking book in print within a few months or less.

Remember if you get to some parts of the project that’s beyond
your skill or know-how consider coaching and other professional
services that will carry you over anything blocking you from
writing, completing and publishing your successful book.

strategy use the perspective and 7 weapons above to overcome any giant called procrastination keeping you from fulfilling your book dream.
